5.1 Customize Your E-mail Signature To customize your e-mail signature, choose the content and size below, and see how your signature will look in the preview box.

5.2 Add Signature to Your Outgoing Mail Now that you have customized your Word of the Day e-mail signature, you can set up your email program to add the signature to all of your outgoing mail.

Choose your e-mail program from the list below:

Outlook Express Outlook Netscape and
Thunderbird
Yahoo Hotmail AOL Gmail and others
5.2.1 Outlook Express
  1. In order for the Word of the Day to show up in your signature, you must send e-mail in HTML format:
    • Open Tools in the menu bar and choose Options.
    • Go to the Send tab and select HTML under Mail Sending Format.
    • Click OK.
  2. Now you must create a new signature using the Word of the Day file you saved earlier, and apply it to all new messages:
    • Open Tools in the menu bar and choose Options.
    • Go to the Signatures tab and click New. You can rename the new signature to "Word of the Day" by selecting the signature and clicking Rename. If this is your first signature, it will be set as default automatically. If you already have one or more signatures, you can set the new one as the default below.
    • Check the "Add signature to all outgoing messages" box if you want to add the Word of the Day to all of the mail you send.
    • Under Edit Signature, choose File, then click on Browse.
    • Choose HTML in the Files of Type menu, then find the directory where you saved the Word of the Day file, select the file, and click Open.
    • Click OK.
  3. You are now ready to send e-mail messages with the Word of the Day as your signature. Just click on Create Mail, and a new message window will appear with the Word of the Day already included.
  4. To remove the Word of the Day from your e-mail signature:
    • Open Tools in the menu bar and choose Options.
    • Go to the Signatures tab and select the Word of the Day signature, then click Remove.
    • Alternatively, you can just uncheck the "Add signature to all outgoing messages box" to keep the signature in place, but inactive.
    • Click OK.
    • The Word of the Day signature file will remain on your hard drive in the directory where you saved it, so you can always add it to your e-mail signature again later on.
5.2.2 Outlook
  1. In order for the Word of the Day to show up in your signature, you must send e-mail in HTML format:
    • Open Tools in the menu bar, and choose Options.
    • Go to the Mail Format tab and select HTML under Message Format / Compose in this message format. (Do not choose "Use Microsoft Word to edit e-mail messages").
  2. Now you must create a new signature using the Word of the Day file you saved earlier:
    • Click on the Signatures button, then click New to create a new signature. Name your new signature Word of the Day.
    • Choose "Use this file as a template", and click Browse.
    • Choose HTML in the Files of Type menu, then find the directory where you saved the Word of the Day file, select the file, and click Select.
    • Click Next, then click Finish.
  3. Click OK in the Signature Picker dialog box, the Mail Format dialog box, and the Options dialog box.
  4. You are now ready to send e-mail messages with the Word of the Day as your signature.
5.2.3 Netscape, Thunderbird, and Other Mozilla Based Programs
  1. In order for the Word of the Day to show up in your signature, you must send e-mail in HTML format:
    • Open Composition & Addressing in your Account Settings.
    • Check Compose messages in HTML format.
    • Click OK
  2. Now you must create a new signature using the Word of the Day file you saved earlier:
    • Open the Folder menu, right-click on Account, and choose Properties.
    • Check "Attach this signature." Click Choose.
    • Choose HTML in the Files of Type menu, then find the directory where you saved the Word of the Day file, select the file, and click Open.
    • Click OK.
  3. You are now ready to send e-mail messages with the Word of the Day as your signature.
5.2.4 Yahoo Web Mail
  1. In order for the Word of the Day to show up in your signature, you must send e-mail in HTML format:
    • In Yahoo Mail, go to Options in the upper right-hand corner of the screen. Under Management, click on General Preferences.
    • Under Composing e-mails select "Compose messages as color and graphics."
    • Scroll down and click Save.
  2. Now you can save the Word of the Day HTML code as your e-mail signature:
    • In Yahoo Mail, go to Options in the upper right-hand corner of the screen. Under Management, click Signature.
    • Next to Editor, click on Color and Graphics.
    • Check View HTML Source.
    • In Windows Explorer, find the directory where you saved the Word of the Day file. Open the file with notepad, select the text, and copy to your clipboard. Paste the HTML code you copied into the window.
    • Check "Add signature to all outgoing messages" if you want the Word of the Day to be added to all of the e-mail messages you send.
    • Click Save.
  3. You are now ready to send e-mail messages with the Word of the Day as your signature.
  4. To remove the Word of the Day from your e-mail signature:
    • In Yahoo Mail, go to Options in the upper right-hand corner of the screen. Under Management, click Signature.
    • Select the Word of the Day graphic, and press your Delete button.
    • Click Save.
5.2.5 Hotmail
  1. Save the Word of the Day HTML code as your e-mail signature:
    • After you log in to Hotmail, go to Options in the upper right-hand corner of the screen.
    • Go to the Mail category and follow the Personal Signature link.
    • You will see a text field with the words "The signature below will be added to each outgoing message" above it. To the right of this is a checkbox marked "Show the rich-text toolbar." Make sure the checkbox is unchecked.
    • In Windows Explorer, find the directory where you saved the Word of the Day file. Open the file with notepad, select the text, and copy to your clipboard. Paste the HTML code you copied into the window.
    • Check the Show Rich Text Bar checkbox. The Word of the Day signature will now appear inside the text field.
    • Click OK.
  2. You are now ready to send e-mail messages with the Word of the Day as your signature.
  3. To remove the Word of the Day from your e-mail signature:
    • Select Options from the navigation bar in Hotmail.
    • Go to the Mail category and follow the Personal Signature link.
    • Select the Word of the Day code, and press your Delete button.
    • Click OK.
5.2.6 AOL
  1. Save the Word of the Day HTML code as your e-mail signature:
    • Go to AOL Mail and click Write Mail (or just click Write).
    • Click Signatures at the bottom right of the letter templateand, then highlight and click Set Up Signatures.
    • Click Create in the new window. In the upper field of the new window, type Word of the Day.
    • In Windows Explorer, find the directory where you saved the Word of the Day file. Open the file with notepad, select the text, and copy to your clipboard. Paste the HTML code you copied into the window.
    • Click OK.
    • Click Default on/off to turn your signature on or off.
  2. You are now ready to send e-mail messages with the Word of the Day as your signature.
5.2.7 Other Web Mail Currently, the Word of the Day signature cannot be used with Gmail, Comcast webmail, MSN mail, Earthlink, Bellsouth webmail and Verizon mail, because these programs do not allow HTML signatures in outgoing mail.
5.3 Troubleshooting Some problems that you may encounter while setting up your Word of the Day signature and their solutions:
5.3.1 Cannot Use Word of the Day with Webmail If you are having trouble configuring your webmail to use the Word of the Day as your e-mail signature, it may be because the mail program you use does not allow HTML signatures in outgoing mail. While Word of the Day can be used with Yahoo Mail and Hotmail, Gmail, Comcast webmail, and several other popular webmail programs currently do not allow this option.
5.3.2 Word of the Day Does Not Show Up in E-mail Signature If you have configured your e-mail program with the Word of the Day signature, but your outgoing messages only display text and a link, you should check whether you are set up to send messages in HTML format. You will find instructions to change the format of your outgoing messages included with the directions for configuring your signature. Click here and choose your e-mail program from the list.
5.3.3 Word of the Day Does Not Show Up in Recipient E-mail If your Word of the Day signature is not displayed in the recipient's e-mail program, the person who is receiving your message may have configured their e-mail to exclude images and/or HTML formatting in incoming mail. This setting can usually be changed in the Options or Preferences menu of the e-mail client. There are people who prefer plain text e-mail because it is more secure, so some people you e-mail may not be able to see your Word of the Day signature.
5.3.4 Message Blocked by AOL If an e-mail message with a Word of the Day signature which was sent to a recipient's AOL address was blocked, the person to whom you are sending e-mail may need to change their security settings to allow for image links.
5.3.5 The Word of the Day Signature Does Not Change/Update Your Word of the Day signature should update daily. If you see the same Word of the Day in your signature for several days, your e-mail client is probably displaying a cached image instead of the latest version. If you are using a Web based e-mail program, you could try holding down the Shift key while your press your browser Refresh button to force a full refresh of the page.
  • For Outlook or Outlook Express you may need to change your Internet Explorer settings. This is because Outlook shares the Internet Connections settings with IE:
    • Open Tools in the menu bar and choose Options, then go to the Connections tab.
    • Click Change.
    • In the General tab, click on Settings under Temporary Internet Files.
    • Select either "Automatically" or "Every visit to the page" under "Check for newer versions of stored pages".
    • Click OK in the Settings, Internet Properties, and Options windows.
